Job Description

RESPONSIBILITIES

  • Provide executive support and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Managing Directors.
  • Complete a broad variety of administrative tasks for the Managing Directors including: managing an extremely active calendar of appointments; completing expense reports; composing emails and preparing correspondence, that are often confidential; whilst arranging complex and detailed agendas, compiling documents for travel-related meetings.
  • Communicate directly and on behalf of the Managing Directos, with Senior Management, other management members and staff.
  • Assist in coordinating the agenda of senior leadership team meetings and all other staff meetings.
  • Provide a bridge for smooth communication between the Managing Directors and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Work closely and effectively with the Managing Directors to keep him/her well informed of upcoming commitments and responsibilities.
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, business and personal correspondence, proofreading and analysis, vendor management and other administrative tasks that facilitate the Managing Director's ability to effectively lead the company.
  • Prioritize conflicting needs; handling matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Be creative and enjoy working within a small, entrepreneurial environment that is results-driven.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability and high emotional maturity.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
  • Ability to work independently on projects, from conception to completion, and must be able to work under pressure at all times to handle a wide variety of activities and confidential matters with discretion.
  • Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, whilst having the ability to maintain a realistic balance among multiple priorities.

QUALIFICATIONS & EXPERIENCE

  • Minimum Bachelor's degree required
  • Strong work tenure of at least 5 years of experience supporting Top Level Executives, preferably in a large / medium enterprise.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and other social media platforms.
  • Candidate must be able to join immediately
  • UAE Driving License (Preferred)
