Job Description

Roles and responsibilities

  • Project Planning and Scheduling

    • Develop and maintain detailed project plans, including scope, schedule, and resources, to ensure that all project milestones are met.
    • Establish and manage project baselines, including work breakdown structures (WBS), project timelines, and critical paths.
    • Ensure that accurate and realistic project schedules are developed, communicated, and adhered to by all project teams.
    • Lead the regular updating and tracking of project schedules, ensuring any delays or risks are identified and mitigated early.
    • Coordinate with project stakeholders, contractors, and team members to ensure alignment on project timelines and priorities.
  • Cost Control and Budget Management

    • Oversee the development and management of the project budget, ensuring that all costs (labor, materials, equipment, overheads, etc.) are accurately estimated and controlled.
    • Monitor project expenditures and compare actual costs against the approved budget, identifying any variances and implementing corrective actions.
    • Provide forecasts for future project costs and ensure cost performance is aligned with the project’s financial goals.
    • Review and approve project invoices, change orders, and claims, ensuring they are consistent with the contract and project scope.
    • Work closely with procurement teams to ensure that project costs align with contracts and vendor agreements.
  • Risk Management and Mitigation

    • Identify potential risks to project timelines, costs, and quality, and implement risk management strategies to mitigate these risks.
    • Facilitate regular risk assessments and ensure that risk mitigation plans are integrated into the project plan.
    • Develop contingency plans for critical risks and uncertainties that could affect the success of the project.
    • Track and monitor risks throughout the project lifecycle, adjusting plans as necessary to address new or emerging risks.
  • Earned Value Management (EVM)

    • Implement and manage Earned Value Management (EVM) systems to track and report on project performance.
    • Use EVM metrics (Cost Performance Index - CPI, Schedule Performance Index - SPI, Estimate at Completion - EAC) to assess project health and forecast project outcomes.
    • Prepare and deliver performance reports to stakeholders, highlighting any deviations from the baseline and recommending corrective actions.
  • Reporting and Documentation

    • Prepare and present regular project status reports, including schedule and cost performance, to senior management and clients.
    • Ensure that project documentation is accurately maintained and up to date, including reports, schedules, budgets, and risk registers.
    • Provide timely and accurate project reports to internal and external stakeholders, including clients, contractors, and regulatory bodies.
    • Document any changes to the project scope, cost, or schedule and ensure that proper change control procedures are followed.
  • Team Leadership and Coordination

    • Lead and manage a team of project controls professionals, including planners, cost engineers, and risk managers.
    • Ensure that all project controls processes are followed consistently and that team members are trained and equipped to perform their tasks.
    • Foster a collaborative and proactive team environment, promoting communication and alignment across all project disciplines.
    • Support project managers by providing insights and recommendations based on project controls data to drive project success.
  • Stakeholder Management

    • Engage with project stakeholders, including clients, senior management, contractors, and suppliers, to ensure alignment on project goals, timelines, and costs.
    • Provide regular updates to stakeholders on project performance, including any issues or concerns that may impact the project.
    • Act as the point of contact for all project control-related matters, addressing any questions or concerns raised by stakeholders.
  • Quality Assurance and Continuous Improvement

    • Ensure that all project control processes, including scheduling, cost control, and risk management, comply with company standards and industry best practices.
    • Review and improve project control methodologies and tools, adopting new technologies or techniques to enhance project performance.
    • Conduct lessons learned sessions at the end of the project to capture successes, challenges, and opportunities for future improvement.

Desired candidate profile

Project Planning and Scheduling

  • Expertise in creating and maintaining project schedules using tools such as Primavera P6, Microsoft Project, or similar scheduling software.
  • Strong understanding of project management methodologies, including work breakdown structures (WBS), critical path method (CPM), and resource leveling.
  • Ability to manage complex project schedules, identify critical paths, and ensure that all project milestones are met.

Cost Estimation and Control

  • Advanced knowledge of cost control techniques, including Earned Value Management (EVM), cost forecasting, and variance analysis.
  • Ability to prepare and manage project budgets, track expenditures, and implement cost-saving strategies.
  • Experience with financial software tools, such as SAP, Oracle, or project-specific cost management systems, to track and report on project financials.

Risk Management

  • Proficiency in identifying, assessing, and mitigating project risks to ensure the success of the project.
  • Familiarity with risk management tools and techniques, such as risk registers, sensitivity analysis, Monte Carlo simulations, and risk mitigation planning.
  • Ability to develop contingency plans for critical project risks and manage uncertainty throughout the project lifecycle.

Earned Value Management (EVM)

  • Expertise in applying Earned Value Management (EVM) principles to monitor project performance in terms of cost and schedule.
  • Ability to calculate and interpret key EVM metrics, including Cost Performance Index (CPI), Schedule Performance Index (SPI), and Estimate at Completion (EAC).
  • Use EVM to analyze project trends, forecast outcomes, and make data-driven decisions to keep the project on track.

Communication and Leadership

  • Strong leadership and team management skills to effectively guide and motivate a project controls team.
  • Excellent communication skills, both written and verbal, to effectively report project performance to senior management and other stakeholders.
  • Ability to manage multiple stakeholders with different interests, ensuring alignment on project goals, schedules, and budgets.

Stakeholder Management

  • Ability to engage with clients, contractors, and other stakeholders, maintaining positive relationships and addressing issues promptly.
  • Skilled in presenting complex project data in a clear, concise manner to both technical and non-technical stakeholders.
  • Strong negotiation skills to manage contracts, changes, and any disputes that arise during the project.
