Job Description

  • Ensure smooth administration of the Sales Department to the standard required by the Hotel and follow up of assigned and Walk-In site inspections and in-house group arrangements
  • Coordinate all internal and external correspondence incoming e-mail and other administrative duties for the Sales Marketing & Magnifique Meetings team.
  • Maintain complete and supported records of all sales agreements contracts and quotes for the hotel as per Sofitel procedures and policies
  • Provide a courteous professional efficient and flexible service at all times following Sofitel Dubai Downtown standards of performance by e-mail phone or in person
  • To be fully conversant with all services and facilities offered by the hotel
  • Perform opening and closing procedures established for the Sales office
  • Ensure that the Sales office and the surrounding area are kept clean and organized at all times
  • Monitor operating supplies and reduce spoilage and wastage
  • Utilize Opera for all accounts management functions and assist the assigned Sales Managers & Executives with the necessary follow-up when they are out on sales calls
  • Ensure that the correct booking procedures are implemented including group room and meeting program history contractual agreements room block analysis etc.
  • Coordinate with external partners to ensure the timely delivery of goods and services.
  • Ensure that all sales contracts follow the established Hotel Policies and Procedures
  • Support the team on day-to-day administration tasks like raising Travel Authorization forms Expense reports and coordinating tasks as required.

Qualifications :

 

  • Diploma or degree in vocational hospitality
  • Previous experience in the related role within the hospitality industry is preferred
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office.
  • Passion for the hospitality industry and a desire to be part of a top-tier team
  • Excellent organizational skills and time management
  • Languages: fluent in English
