Description

The opportunity

The Admissions & Registration Department seeks an incumbentwhosupports the Sr. Registration Coordinator with the duties of the Registrars. Provides Support to the Enrollment Management Service Team in carrying out the responsibilities of the department.

The Responsibilities

Provides accurate and updated information to students family and faculty about policies and procedures related to student academic records personal conduct and discipline with special emphasis on Admissions and recruiting responsibilities.

Performs Special Responsibilities pertaining to students admissions requiring specific knowledge and availability at certain times during the year

At other times of the year when the admissions function is less intensive or not required covers for the other tasks and responsibilities listed for an Enrollment Services Specialist with a specific emphasis on recruiting activities and event organization.

SCHEDULING

  • Schedules student classes based on information provided by the Campus Registrar and Colleges.
  • Performs changes to student schedules based on approvals by academic supervisors. Prints all schedules and distributes to students and faculty.
  • Ensures that changes to individual student schedules align with University policy and do not negatively affect class schedules.
  • Independently addresses individual student concerns with regard to scheduling issues. Escalates issues to Campus Registrar when appropriate.

STUDENT ATTENDANCE TRACKING

  • Creates and maintains accurate Attendance and Security Records.
  • Evaluates medical or other documentation to determine whether a student may leave campus.
  • Consults with the Registrar Manager of Office of Enrollment Management or Asst Provost Enrollment Services as needed.
  • Provides reporting to Manager of OEM Life for students exceeding their absence limits.
  • Ensures the accurate implementation and enforcement of the Campus Security and attendance policies and procedures.
  • Reviews records in the Attendance Viewer daily monitoring the students attendance and notifying students at risk. Ensures notification of students exceeding limits to all relevant parties.
  • Updates students records and registration when failed grades or suspensions are required.
  • Ensures notification of students exceeding limits to all relevant parties.
  • Deals with student late arrivals. Collects related documentation and calls parents for verification.
  • Reviews and maintains the records and reporting from the Campus Security system including the monitoring and assignment of University ID cards.

REGISTRATION

  • Registers students in Banner and ensures the timely preparation of individual student schedules under the direction of the Registrar.

GRADUATION PROCESSING

Notifies colleges of students expected to graduate in semester and confirms potential graduates will meet graduation criteria.

Collects graduation authorizations from colleges and works with Registrar to verify student transcripts are correct and up to date.

Collects and processes documentation from students expecting to graduate.

Graduates students in Banner and creates graduation lists (English and Arabic) for Colleges and Executive offices.

STUDENT ADVANCEMENT

Collects processes and verifies documentation from students moving from prebaccalaureate programs into the undergraduate programs ensuring all criteria are met.

Collects processes and verifies documentation from colleges for students applying to move from the foundation/general program to the College majors.

Maintains and updates records of students moving from level to level.

Maintains all forms and documentation relating to student advancement at ZU.

STUDENT RECORDS

Addresses queries and requests of students and families with regard to information and policies related to class changes attendance enrolment suspension and withdrawal and tests and examinations review.

Updates student records electronically using Banner and files all related paperwork based on above student activities.

UNIVERSITY POLICIES AND PROCEDURES

Assists in ensuring that students adhere to University policies and procedures with regard to personal conduct attendance entering and leaving the Campus and enrollment suspension and withdrawal.

Ensures a smooth and efficient correspondence channel between the University and students with regard to issues such as attendance appeals suspensions and dismissals.

REPORTS

Produces reports and letters for students related to student attendance academic record and discipline.

Prepares statistics using Banner and Excel and produces reports for Colleges and Senior Administration.

OTHER

Performs general office duties within the Office of Enrollment Management

Provides general administrative assistance to the Registrars Office ensuring that all processes are completed in a timely fashion. Provides general assistance to the faculty students and their families.

Assists with special projects and events on and off campus as well as with student orientation and placement testing.

Handles student complaints within the boundaries of welldefined University policies and procedures.

**Special Responsibilities within Enrollment Services**

The individual responsibilities listed below are assigned to a specific Enrollment Services Officer. They are specialty responsibilities because they require specific knowledge and availability at certain times of the year

ADMISSIONS

Performs admission specific duties during the month of July August and January every year.

Processes admissions to the University as well as to the chosen Major. For all three campuses and for male and female students.

Ensures all required application documentation is submitted completed and all ZU admission criteria are met prior to any student being admitted.

Maintains integrity of student application and admissions records in the student information system and ensures the timely preparation of individual student schedules and reporting under the direction of the Manager for Enrollment.

Maintains and controls the communication plan to prospective admits and accepted students.

Acts as the primary contact for the University with NAPO to facilitate the admission of new students each Fall.

Acts as the primary contact for prospective students and their parents to provide information on ZU and its programs and offerings.

Is actively involved in the recruitment of students to Zayed University

Works with others to ensure all internationals prospective students and their parents are provided with the appropriate information and advice on ZU and its programs and offerings

Ensures that all national and international students are aware of scholarship and Financial Aid opportunities and that they receive appropriate advice

Provides input into student selection for scholarship financial; aid and Zayed Scholars Program

Supervises a team of work study students who work within Admissions

Helps with the organization planning and managing of recruitment related events as well as other student oriented events on and off campus.

The Requirements

Must possess a Bachelors degree in Communication from an accredited institution with a minimum of 2 years of experience in the Student services Admissions etc. fields or an equivalent combination of education skill or experience.

Bilingual English/ Arabic is an essential.

Other essential requirements:

Experience with administration and customer servicesrelated activities preferably in a Registrars office

Highly computer literate; familiar with database use in an academic environment

Familiarity with an educational environment & UAE culture preferred

Bilingual (Arabic / English) essential
