Job Description

Roles and responsibilities

Job Title: Operations Supervisor
Reports To: Operations Manager
Purpose:
The Operations Supervisor leads the daily operational functions of the company, ensuring all policies and procedures are strictly followed. This role acts as a key liaison between Operations and other departments, and is accountable for the efficient management of the fleet and limo services.
Key Responsibilities:
Operational Leadership:
- Lead daily operations, ensuring compliance with company policies and industry regulations.
- Act as the main point of contact between Operations and other departments for smooth cross-functional communication.
Fleet and Limo Planning:
- Oversee daily fleet planning and ensure effective utilization of the vehicles.
- Monitor the limo operations and communicate strategies to improve utilization rates with Department Managers.
Training and Development:
- Provide formal and informal training to Rental Agents on achieving customer-oriented goals.
- Guide agents on promoting additional services such as collision damage waiver, theft protection, fuel purchase options, and vehicle upgrades.
Documentation and Reservations:
- Supervise all aspects of rental documentation, including reservations, quotations, and rental extensions.
- Ensure all documentation aligns with company policies and regulatory requirements.
Reporting and Analysis:
- Assist Department Managers in preparing regular operational reports to track and assess performance.
- Monitor fleet utilization and implement strategies to maximize efficiency in consultation with the Department Manager.
Coordination:
- Coordinate daily operations across different areas, ensuring efficient collaboration between different teams and locations.
Compliance and Monitoring:
- Ensure all operations-related documentation is maintained accurately and complies with company policies and regulatory standards.
Additional Duties:
- Perform other duties as assigned by the Department Manager to support overall operational excellence.
Qualifications:
- Proven experience in an operations management role, ideally in the car rental or automotive sector.
- Strong leadership and team management skills.
- Excellent communication and coordination abilities.
- Familiarity with fleet management, rental procedures, and relevant regulatory frameworks.
- Ability to train and mentor staff for improved customer service and operational efficiency.
- Strong organizational and problem-solving skills.

  • Lead, motivate, and supervise a team of employees, ensuring that work is performed efficiently and effectively.
  • Assign tasks and monitor team performance, providing support and guidance when necessary.
  • Conduct performance reviews, provide feedback, and identify areas for employee development.
  • Ensure that the team follows company policies, procedures, and safety standards.

Process Optimization

  • Review and improve operational processes to increase productivity, reduce costs, and streamline workflows.
  • Implement best practices for process efficiency and ensure adherence to operational standards.
  • Identify and address bottlenecks or inefficiencies in the operational flow.

Quality Control

  • Monitor work quality to ensure compliance with organizational standards and customer expectations.
  • Conduct regular inspections and audits to verify that products, services, or operations meet quality standards.
  • Address any quality issues promptly and work with the team to find solutions.

Scheduling and Resource Management

  • Create and manage employee schedules to ensure adequate staffing levels during peak times.
  • Oversee the allocation of resources, equipment, and materials to support daily operations.
  • Ensure that the team adheres to schedules and meets deadlines.

Health, Safety, and Compliance

  • Ensure compliance with safety regulations, including health and safety protocols for the team.
  • Conduct safety training for employees and ensure that workplace hazards are identified and addressed.
  • Maintain records related to compliance, safety inspections, and incident reports.

Reporting and Documentation

  • Maintain accurate records of operations, including inventory, production, and employee performance.
  • Generate regular reports on team performance, productivity, and other key operational metrics.
  • Report any issues or concerns to higher management and propose solutions for improvement.

Customer Service

  • Ensure high levels of customer satisfaction by addressing complaints or concerns promptly.
  • Work with customer service teams to resolve any operational issues that affect customers.
  • Monitor customer feedback to identify areas for improvement in service delivery.
