Key Roles and Responsibilities of the Project Development Coordinator
The project development coordinator will be responsible for designing and developing high quality project proposals in response to RFPs/RFIs and assist in various coordination aspects of these projects when accepted. The coordinator will play an integral role in setting the tone for proposals and projects through the following responsibilities:
Coordinate the tender/RFP (Request for Proposal) process from initiation to submission ensuring a streamlined and efficient approach.
Assist in the coordination of project proposals that have been accepted including assistance in all phases of the project.
Collaborate with partners stakeholders and team members to ensure smooth project proposal submission or project coordination.
Utilize tools (i.e. Microsoft Office tools Project Management Platforms and other suggested tools) to ensure a centralized streamlined approach to task management.
Growth Initiatives Support:
Establish and adhere to project timelines guaranteeing that all deadlines are met to maintain project efficiency and reliability.
Support the Growth Initiatives Office in identifying new proposal opportunities and growth areas.
Conduct independent research and analysis through desk reviews or probing to support proposal development and design. Embed insights into proposals ensuring that it is appealing to the UAE context if applicable.
Develop innovative solutions and approaches for integrating into proposals and projects showcasing Mind base/Tutor doctor UAE offerings in addition to trending technologies and digital solutions if applicable.
Contribute to creating clear concise and compelling proposals in response to tenders and RFPs ensuring content is persuasive and wellstructured following the needs mentioned within the RFP.
Utilize PowerPoint to create visually appealing presentations that complement and enhance proposal narratives.
Align proposals with the companys branding and strategic messaging highlighting competitive advantages to distinguish our offerings.
Participate in brainstorming sessions and contribute ideas to enhance Mind base/Tutor doctor UAE s offerings and impact
Proposal Development:
Reach out to potential vendors or partners after conducting thorough research to understand their offerings and evaluate alignment with tender requirements.
Take part in negotiations and discussions to clarify terms expectations and capabilities ensuring mutual understanding and alignment with project objectives.
Maintain ongoing communication with vendors and partners to manage relationships resolve issues and explore opportunities for future collaboration enhancing the value and sustainability of partnerships.
Ensure that all partner and vendor communications are documented and any issues are raised to the Project Proposal Lead.
Review and refine proposal content for accuracy coherence and compliance with guidelines ensuring highquality submissions.
Implement a robust quality assurance process to elevate the professionalism and credibility of our proposals.
Project Coordination:
Assist in the planning and execution of projects once proposals are accepted.
Develop project plans including timelines milestones and deliverables.
Coordinate with internal and external stakeholders to ensure smooth project implementation.
Take part in project meetings prepare meeting agendas and document meeting minutes. Provide insights into any problems or challenges encountered.
Maintain project documentation including project plans status reports and communication logs.
Prepare and submit regular project status reports to the Project Proposal Lead and other stakeholders.
Assist in the allocation and management of project resources including personnel and materials.
