DescriptionApt Resources is hiring a Admin Assistant for our client a specialized engineering and technical services company operating across the GCC region. This position is ideal for someone who has experience in a small or mediumsized company within the engineering maintenance or service industry. The ideal candidate should be organized proactive and possess strong logic and common sense.
Key Responsibilities:
Expense Entry and Record Keeping
- Enter and update daily operational and projectrelated expenses in the accounting software
- Ensure financial records are properly documented and easy to retrieve when needed
Invoice Preparation
- Prepare and issue proforma invoices for service and technical jobs
- Ensure invoices are accurate complete and shared with clients on time
Documentation Management
- Compile and share documents required by clients including gate passes and job sheets
- Coordinate with the PRO for document submissions and followups
Logistics and Shipment Coordination
- Communicate with suppliers and logistics companies to track and schedule deliveries
- Keep updated records of all incoming items and follow up on any pending consignments
Administrative Support
- Perform general office tasks such as filing scanning printing and organizing records
- Support the office team with daily administrative tasks
Requirements - Previous experience in an administrative role preferably within the engineering or technical services industry
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and project management software
- Familiarity with engineering concepts and terminology is a plus
- Ability to work in a fastpaced environment and manage deadlines effectively
