This role will support the Commercial Department at Expo and also the Centralized Financial & Operational Support team in revenue and cost management processes. Responsibilities: • Receive all administration requests from various across EXPO2020 and external parties and action accordingly in line with End User Department Standards. • Follow-up on all requests received internally and externally. • Maintain proper documentation for easy retrieval for audit, financial and management reviews. • File documents in physical and digital records • Prepares presentations, expense reports, claims and all other reports as requested; • Coordinate with Internal Teams for coordination of project-related topics • Receives and screens incoming phone calls; • Assist in the various tasks of correspondence, creation of SES’s PR’s CAR’s with relevant backup • Assist the Centralized Financial & Operational Support team in Cost and/or Revenue Management • In collaboration with various internal departments, ensure execution, change management and successful and timely closure of various Commercial Agreements • Coordination with internal Expo Departments to facilitate service delivery • Assists with travel plans, itineraries and agendas, ensuring documents and logistics are prepared in advance; • Ensures strict adherence to processes and instructions; • Ensures correct hierarchy is followed at all times; • Ensures confidentiality at all times; • Ensures discretion and diplomacy at all times; • Transmits directives, instructions and assignments as requested;
• 5+ years of administration / secretarial support role • Proven work experience as a coordinator or similar role • Hands-on experience with MS Office and MS Excel • Proficient typing and editing skills • Strong time management skills., • Experience working in a Commercial Function • Experience working in Food and Beverage Industry Contract based - 8 months
