As our organization continues to grow we are seeking a highly organized and proactive Administrative Assistant to join our team and support our mission.
Responsibilities:
Assist with the daytoday operations of the institute including scheduling appointments answering and transferring phone calls responding to emails and correspondence maintaining records and databases and preparing reports.
Serve as the first point of contact for guests and members of the institute providing a warm and professional welcome and ensuring their needs are met.
Provide administrative support to the executive team including calendar management meeting coordination taking and distributing meeting minutes and preparing materials for meetings.
Manage travel arrangements for staff and guests including booking flights hotels and other accommodations.
Assist with the planning and of events such as conferences seminars and workshops by coordinating logistics preparing materials and managing registration.
Handle general office tasks such as ordering supplies maintaining office equipment and managing incoming and outgoing mail.
Support the institutes communication efforts by drafting and proofreading documents updating the website and managing social media pages.
Conduct research and compile data for special projects and reports.
Maintain and update the institutes membership database and coordinate membership renewals.
An associates or bachelors degree in business administration office administration or a related field.
Minimum of 2 years of experience in an administrative role preferably in a fastpaced and international environment.
Proficient in Microsoft Office and familiar with office equipment such as printers scanners and teleconferencing tools.
Strong communication skills both written and verbal with fluency in English.
Excellent organizational and timemanagement skills with the ability to handle multiple tasks and prioritize effectively.
Positive attitude strong work ethic and ability to work independently and in a team.
Knowledge of the quality assurance and finance fields is a plus.
