Job Description

Roles and responsibilities

  • Responsible for tenders for MV Switchgear
  • Prepare Cost estimate, submit quotations, follow-up quotation with customers, negotiate contract and hand order over to execution team
  • Think outside the box within the customer requirements / specifications and to come up with most optimize technical and commercial solution giving Siemens competitive edge over competition.

Activities to be performed:

  • Understanding customer requirements based on RFQ and control the bid process from commercial and technical offer preparation till conclusion.
  • Besides Low Voltage and outdoor products the focus will be on Medium Voltage Switchgear (Air and Gas insulated), as well as RMU’s.
  • Preparation of technical contract documents and corresponding clarification with client, as well as hand over of order to Project Management team.
  • Ensure that the risks/opportunities are identified and included as part of calculations along with mitigation measures and action plans to create the foundation for successful project execution in the event of an order.

Qualification & Skills

  • Around 3 years of relevant experience in proposals for Switchgear (AIS & GIS)
  • Reasonable amount of experience in Utility/ Oil & Gas verticals for switchgear.
  • Knowledge of digital protection relays (Siprotec)
  • Knowledge of Engineering and Project management processes.
  • Good communication skills to be able to interface with customer and coordinate with team.
  • High level of result orientation to be able to complete optimum proposals on time.
  • Good aptitude, high willingness, and ability to learn due to ever changing skill sets requirement.
  • English fluency

Desired candidate profile

1. Tender Preparation and Submission

  • Gathering Requirements: Reviewing client specifications, project scope, and contractual terms to understand project requirements.
  • Preparation of Tender Documents: Creating and compiling detailed tender proposals, including technical descriptions, project plans, cost estimates, timelines, and risk assessments.
  • Cost Estimation: Working with the finance and procurement teams to estimate the costs involved in the project, including materials, labor, and overheads.
  • Supplier and Subcontractor Coordination: Engaging with suppliers and subcontractors to gather quotes and information on materials and services, ensuring that the tender is as competitive as possible.
  • Bid Submissions: Ensuring that all tender submissions are completed on time and in compliance with the client's requirements and deadlines.

2. Technical Review and Analysis

  • Evaluating Project Specifications: Analyzing project specifications and design documents to ensure that the company's proposal meets all technical and legal requirements.
  • Identifying Risks: Assessing potential risks related to the project, such as technical challenges, financial implications, or regulatory issues, and addressing them in the proposal.
  • Developing Technical Solutions: Proposing innovative and cost-effective technical solutions that meet the project requirements while being mindful of the budget, timeline, and quality standards.
  • Collaborating with Engineers: Working with engineers from various disciplines (mechanical, electrical, civil, etc.) to ensure that the proposal includes the most accurate technical details and solutions.

3. Client and Stakeholder Communication

  • Clarifications and Negotiations: Communicating with clients to clarify any ambiguities or questions related to the project or the tender submission.
  • Presentations and Meetings: Participating in meetings with clients or stakeholders to discuss the tender, answer questions, and present the company's proposal.
  • Maintaining Relationships: Building and maintaining strong relationships with clients, contractors, and suppliers to ensure a smooth tendering process and increase the chances of winning the bid.

4. Cost Control and Budget Management

  • Establishing Budgets: Developing cost estimates based on project requirements, previous projects, and market trends.
  • Ensuring Profitability: Striving to provide cost-effective solutions without compromising quality to ensure that the company remains competitive while maintaining profitability.
  • Monitoring Costs: Tracking and controlling costs throughout the tendering process to prevent any budget overruns.

5. Market Research and Competitive Analysis

  • Industry and Market Research: Conducting research to stay updated on industry trends, competitor strategies, and market conditions to improve the quality and competitiveness of tenders.
  • Competitive Benchmarking: Analyzing competitors’ bids to understand pricing, strategies, and key selling points, and adapting the company’s approach to be more competitive.
  • Client Preferences: Understanding the client's business and preferences to tailor the bid to their specific needs and enhance the likelihood of success.
