Roles and responsibilities
- Oversee and manage all inbound and outbound CEO Office official letters / correspondence and ensure timely action / responses to communication requests.
- Drafting and review of ENG/ARA letter communication related to the CEO Office.
- Streamline and improve process for all CEO Office letters / correspondence linked to governmental entities, authorities, ministries, etc. in terms of requests, responses, follow-ups, actions, quality, impact, and KPI timelines to centralize and unify tracking.
- Ensure timely responses to external entity letters with involvement of relevant internal stakeholders by implementing KPIs for acknowledgment, reminders, and official response.
- Review all outbound correspondence and identify unresolved / overdue action plans to ensure follow-up with relevant stakeholders is completed and all pending actions are closed.
- Act as an internal focal point for support on CEO Office related official communication to external entities.
- Create a quarterly update to the CEO on the status and action plan progress against all CEO Office tracked communication.
- If and when established, manage the CEO Office Mail ID and inbox to serve as a platform for sending various letters on behalf of the CEO Office.
- Explore implementation of a communication and letters e-archive system with thorough referencing, security, easy tracking, and smart visibility, etc.
