Job Description

Procurement Assistant

Location: Sharjah Office

We are seeking a Procurement Assistant with strong organizational and negotiation skills to join our team in Sharjah. Preference will be given to Tagalogspeaking candidates to support communication and collaboration effectively with the team and stakeholders.

Key Responsibilities:

  • Purchase Order Processing: Generate purchase orders for approved purchase requisitions and track approved requests to ensure timely release of orders. Ensure accuracy in quantities specifications and pricing.
  • Supplier Coordination: Communicate with suppliers to confirm orders and follow up on delivery schedules.
  • Price Negotiation: Negotiate terms with suppliers including pricing payment terms and discounts to optimize procurement costs and profitability.
  • Contract Management: Assist the procurement team in negotiating and managing supplier contracts ensuring compliance with terms conditions and regulatory requirements.
  • Supplier Relationship Management: Build and maintain positive relationships with suppliers to foster collaboration resolve issues and address concerns promptly.
  • Documentation and RecordKeeping: Maintain accurate records of procurement transactions contracts and supplier details. Ensure compliance with internal policies and regulatory guidelines.
  • Quality Assurance: Collaborate with quality control teams to ensure purchased materials meet required specifications and standards in coordination with endusers.
  • Support to Head of Procurement: Provide assistance to the Head of Procurement in reporting vendor performance evaluation and strategic sourcing plans.

Qualifications and Skills:

  • Strong proficiency in procurement processes and supplier management.
  • Excellent communication and negotiation skills.
  • Ability to maintain accurate records and attention to detail.
  • Knowledge of procurement regulations and compliance standards.
  • Fluency in Tagalog is preferred.
  • Prior experience in procurement or a related field is a plus.
