Job Description

Coordinating with the department manager in completing the work and what is related to operations, financial matters, and customers, achieving quality services by providing them in a timely manner.
Carrying out internal and external communications, processing official letters, and ensuring the collection and directing of mail to those concerned from the sector with high professionalism in accordance with the director’s directives.
Answer/transfer incoming telephone calls, answer inquiries, record memos, and work to arrange scheduled meetings for visitors.
Scheduling and coordinating appointments and managing the agenda and diary on a regular basis to inform the manager of upcoming activities and required actions.
Organizing and saving files in the department/department’s archiving system in order to store and retrieve the required information when needed.
Arranging and coordinating meetings, writing their minutes, preparing the work agenda, and communicating with those concerned about completing the tasks agreed upon during the meetings and within the specified time.
Welcoming visitors and making the necessary arrangements to receive them when needed to ensure the best possible hospitality
Creating and maintaining files on procedures and operations for the sector’s databases, ensuring efficient storage and retrieval of information, and reporting it to the direct manager when needed.
Receiving cash disbursements and preparing the required papers for the sector departments and divisions.
Coordinating everything related to the travel and residence of organizational unit managers and all employees with those concerned.
Managing the supplies and needs of organizational units to ensure that daily workflow requirements are provided efficiently.
Interacting with organizations and individuals regarding department/department affairs.
Performing any duties assigned by the direct manager in a proper and timely manner with reliability, integrity, and ensuring that the assigned tasks are completed to the fullest extent.
