Job Description

We are looking for a/an Order Processing and Logistic Coordinator to join our FE_WIBU team in United Arab Emirates .

Your main tasks and responsibilities:

  • Review handover sheet as well as customer's Purchase Orders to ensure purchases meet requirements of both buying and selling legal entities, highlighting item details and terms and conditions prior to booking in SAP system.
  • Book Sales Orders in SAP and create Purchase Orders.
  • Overall responsibility for all assigned project deliverables including but not limited to hardware, financial and commercial outputs, dispute management, customer satisfaction and on time delivery.
  • Ensuring export control checks for each orders, as well as DoA compliance.
  • Payment follow ups , overdue checks, and creating monthly report in alignment with finance.
  • Check all orders received for commercial and technical correctness
  • Ensure Order Confirmations are submitted to customers in accordance with customer's PO and selling entity's Order Confirmation.
  • Monitor progress of all live orders and ensure customers are updated accordingly.
  • Coordinate between customers and entities to clarify and resolve procurement issues as well as "after Sales" complaints.
  • Keep accurate records of discrepancies and prepare monthly report
  • Prepare and obtain shipping documents and coordinate delivery procedures / instructions between customers and entities.
  • Generate, dispatch, and track Commercial Invoices which should be sent to customers by email and courier.
  • Submit required copies of Intercompany Invoices, Commercial Invoices, and Proof of Delivery to Finance Department.
  • Update orders' latest delivery position to maintain accuracy in Monthly Sales Forecast, and expedite as required
  • Issue delivery status reports to relevant Sales Managers.
  • Complete necessary information in Sales Order's Business Reports for KPI.
  • Organize and file relevant communications and documentations by electronic and hard copy.
  • Participate in and actively support company initiatives and make improvement suggestions where able.
  • Assist , when requested, other departments within Suler Pumps Middle East.

To succeed in this role, you will need:

  • SAP conversant.
  • Sales Force conversant.
  • General Computer skills – Microsoft Office etc .
  • Good Oral and written English.
  • Office Administration skills.
  • Attention to detail.
  • Organisational and Time Management skills.
  • Adaptability and flexibility.
