Job Description

Experienced in Buildings and facilities Field.
Responsible for managing the Design Process to ensure that the designs comply with the objectives of the Corporate Administrative Support Services Sector.
Ensure that all requirements have been explicitly and clearly specified and incorporated into the Project Requirements Document.
Monitor manage and supervise architectural designs and planning issues to ensure design is cost effective fit for purpose and value for money.
Manage and control design aspects and ensure that the correct level of services is chosen for each project.
Provide necessary supports to other Departments during postcontract stage for the best interest of the Corporate Administrative Support Services Sector.
Ensure effective communication between the Engineer contractor third parties and stakeholders and that established communication procedures are followed to resolve any design issues.
Support and involvement in reviewing all design stages until the designs are approved as requested.
Identify the need for develop and manage cost effective designs of new projects and refurbishment works.
Lead & manage the development of buildings/facilities context planning & landscaping and preliminary design for new projects.
Review of thirdparty design proposals for works to Corporate Administrative Support Services Sector s assets to assess compliance with established standards and check that they contribute to the achievement of Corporate Administrative Support Services Sector s goals.
Lead & manage the preparation of design management plans/conservation plans for listed and otherwise statutorily protected buildings.
Provide a professional costeffective technical advice service to other Clients Departments.
Lead & manage the procurement and works of architectural consultants and contractors.
Lead manage & review the interior designs of all the projects under construction and/or renovation/refurbishment.
Provide input to the project terms of reference & in the evaluation of the bidders
Provide support to the development implementation and maintenance of the Corporate Administrative Support Services Sector architectural design standards and guidelines.
Coordinate design activities with developers and other projects affected by the planned works.
Assist in the prequalification of consultants & contractors as well as in the preparation of project plans and specifications.
Manage the specifications of all the finishes & accessories including but not limited to flooring ceiling wall finishes other equipment s Ironmongery doors etc.
Lead & manage/review the maintenance & clearing systems and maintenance access proposed and to advise on the impact & suitability of these systems.
Lead manage & review exterior finishes including roof and Curtin wall systems prior approval.


Requirements

Bachelor with PMP/ Masters preferred in from a recognized university required.
Minimum 10 years of experience in related fields.
Excellent design and presentational skills including use of CAD PowerPoint and freehand drafting.
Highly analytical thinking with demonstrated talent for identifying scrutinizing improving and streamlining complex work processes
Computerliterate performer with extensive software proficiency covering wide variety of applications
Exceptional listener and communicator who effectively conveys information verbally and in writing.
Resourceful team player who excels at building trusting relationships with customers and colleagues.

Main tasks: 1. Follow up on official correspondence and communications received by the Executive Director s Office, which include (letters, e-mails) to ensure that the necessary measures are taken. 2. Preserving correspondence, and official documents within an integrated document preservation system. 3. Follow up on the status of messages received from all sectors and departments of the Authority. 4. Preparing for the evaluation of the Office of the Executive Director. 5. Covering the duties of the Executive Director s secretary during his vacation. 6. Preparing monthly reports related to correspondence to the Executive Director. 7. Managing incoming/ outgoing correspondence from the Office of the Executive Director through the Tarasul system. 8. Follow up co-ordination with the office of the Director General and Chairman of the Board of Directors to ensure that all directives and instructions of the Director General and Chairman of the Board of Directors are implemented. 9. Ensuring that correspondences that do not have a specific end date are not delayed for more than two months. 10. Ensuring that all requirements are provided on time and that their completion is not delayed. 11. Receiving messages (forms, minutes of meetings) that require the approval of the Executive Director and sending them to the concerned authority upon approval. 12. Periodic follow-up and updating of the shared file. 13. Following up on matters related to the Office of the Executive Director and preparing and implementing the tasks assigned to me, including minutes of meetings, PowerPoint presentations
