Job Description


Responsibilities

  • Manage and maintain attorneys' schedules, appointments, and travel arrangements.
  • Manage all aspects of document preparation and management, including drafting, proofreading, editing, copying, and filing/e-filing of legal documents.
  • Coordinate and schedule hearings, depositions, meditations, and other meetings.
  • Maintain strict confidentiality of sensitive information, in line with firm policy and legal regulations.
  • Deliver exceptional customer service, handling client inquiries and requests promptly and professionally.
  • Perform transcription and data entry tasks accurately and efficiently.
  • Utilize legal terminology knowledge in preparing and managing legal documents and correspondence.
  • Conduct administrative duties such as faxing, filing, and maintaining office supplies.
  • Utilize document management systems such as Coyote and Worldox effectively.
  • Assist with insurance defense cases and other legal assignments as required.

Qualifications

  • Minimum of 3 years of experience as a legal secretary or similar role in a law firm or legal department.
  • Proficiency in document management, client relations, and office administration.
  • Excellent communication and customer service skills, with the ability to handle client relations professionally.
  • Strong organizational and time management skills, with the ability to multitask and prioritize tasks in a fast-paced environment.
  • High level of attention to detail and accuracy in all work.
  • Proficiency in transcription and data entry.
  • Proficient typing skills and extensive experience with file management and document preparation.
  • Familiarity with legal terminology and insurance defense.
  • Experience in scheduling depositions, mediations, and hearings.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in using office equipment such as fax machines and document management systems, including Coyote and Worldox.
  • Strong proofreading skills and the ability to spot errors in legal documents.
  • Experience in the legal industry is a must, preferably in a law firm setting.
