Responsibilities
Collaboration and Communication Collaborate with members of the in-office team, as well as remote Caseworkers and Attorneys, to ensure all cases have necessary documents and meet deadlines. Serve as the main point of contact for remote Caseworkers and Attorneys, facilitating smooth communication and coordination.
Data Management Manage data entry and ensure the maintenance of data integrity for various case types. Open and close records/cases, maintaining all records as requested by supervisors.
Meeting Coordination Schedule internal and client meetings, maintaining calendars and handling client correspondence. Coordinate team meetings, including scheduling, providing meeting notes, and scheduling conference calls. Coordinate lunches for meetings as necessary.
Client Liaison and Key Team Member Act as a key team member of Boston's in-office team for the firm's largest client, providing exceptional service and support.
Serve as the main point of contact for the firm's largest client, handling inquiries and providing necessary assistance.
Case Filing Support Provide critical support for in-office coordination of case filings, handling approximately 50 filings per day.
Process Improvement Continuously develop and improve administrative processes and procedures, ranging from special projects to daily responsibilities.
Manage competing deadlines and office operations effectively to ensure smooth functioning.
Requirements
Bachelor's degree in Business Administration, Legal Studies, or related field preferred.
Prior experience in administrative support roles, preferably in a legal or immigration services environment.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and other relevant software applications.
Ability to multitask and prioritize tasks effectively.
Proactive problem-solving skills and ability to adapt to changing priorities.
Discretion and ability to handle confidential information with professionalism.
