We are looking for a Remote Operations Assistant to support Pet Concierge. The ideal candidate must be proactive efficient and capable of managing daily operations client interactions and team coordination while working closely with the CEO.
Key Responsibilities:
Client & Lead Management
Respond to leads and client inquiries promptly and accurately across multiple channels.
Use WhatsApp Business templates Slack email and calls to engage professionally with clients.
Oversee bookings followups and customer retention strategies to ensure exceptional service.
CRM & Administrative Tasks
Maintain and update the CRM system with client records bookings and transaction history.
Track customer interactions and ensure all data is accurately logged.
Generate invoices and send payment links using Zoho Books while monitoring financial transactions.
Oversee Google Calendar for client appointments internal schedules and reminders.
Operations & Team Coordination
Manage daily business operations to ensure seamless service delivery.
Coordinate with and oversee staff and freelancers ensuring tasks are completed efficiently.
Monitor workflows resolve operational bottlenecks and optimize business processes.
Take instructions from the CEO and execute tasks with minimal supervision.
Process Optimization & Tech Utilization
Leverage AI tools like ChatGPT to enhance efficiency in communication and reporting.
Implement best practices for operational efficiency and customer experience improvement.
Monitor service quality and propose innovative solutions for operational challenges.
What Were Looking For:
Flawless attention to detail Accuracy in everything you do is critical.
Ability to work under pressure Stay calm and focused in a fastchanging environment.
Techsavvy and adaptable Comfortable with CRM software Zoho Books WhatsApp Business Slack Google Calendar and ChatGPT.
Strong problemsolving and multitasking skills Manage multiple responsibilities efficiently.
Excellent communication skills Clear professional and responsive in all interactions.
Experience in team coordination and operational management is a plus.
A background in customer service sales support or operations is advantageous.
