Job Description

Roles and responsibilities

  • Responsible for overseeing the security, integrity and maintenance of IT systems, ensuring that systems are well maintained and IT procedures robust
  • Extensive interactions with business counterparts driving business readiness and contingency activities, system installations and liaison with business users for acceptance of deliverables, initiatives, and compliance KPI’s
  • Develops and implements IT strategies where objectives are communicated at all levels, the performance of system software and hardware is audited and reported upon to enables strategic business decisions to be made
  • Understands the overall objectives and architectural aspects of all IT systems to ensuring that all IT functions and disciplines are controlled, audited ensuring system efficiencies are attained
  • Participates in the negotiations for installations, service and maintenance agreements of all IT system, project managing the process and ensuring that licensing and upgrades are kept in date
  • Builds and maintains effective working relationships with all key stakeholders
  • Reviews and scrutinizes system performance, in accordance with company policy, providing recommendations that will drive efficiency and provide added value to the business
  • Ensures adherence and compliance to all legislation where due diligence requirements and best practice activities are planned, delivered and documented for internal and external audit, performing follow-up as required

An Assistant IT Manager plays a key supporting role in the IT department of an organization. They work closely with the IT Manager and other senior IT staff to ensure that the organization's technology infrastructure runs smoothly and that any IT-related issues are resolved efficiently. The Assistant IT Manager is responsible for overseeing the day-to-day operations of IT support, troubleshooting, maintaining systems, and assisting with strategic IT planning and project management.

Key Skills for an Assistant IT Manager

1. Technical Knowledge

  • System Administration: Proficiency in managing and maintaining operating systems (e.g., Windows, Linux, macOS) and server environments (e.g., Active Directory, file servers).
  • Networking: Knowledge of network protocols, routers, switches, firewalls, and VPNs. Ability to troubleshoot and configure local area networks (LAN), wide area networks (WAN), and wireless networks.
  • Database Management: Understanding of database systems (e.g., SQL Server, MySQL) and experience with data backup and recovery processes.
  • Hardware Knowledge: Familiarity with IT hardware, including desktops, laptops, printers, networking equipment, and other devices, and the ability to repair or replace hardware as needed.
  • Software Management: Knowledge of enterprise software applications, operating systems, and software installation, as well as updates and patches.

2. Problem-Solving and Troubleshooting

  • Diagnostic Skills: The ability to quickly identify issues with hardware, software, or networks and find efficient solutions. This could involve troubleshooting user problems or diagnosing system-wide issues.
  • Incident Management: Handling IT-related incidents such as system outages, network failures, or security breaches by identifying root causes and implementing corrective actions.

3. Project Management and Planning

  • Project Coordination: Ability to support or manage IT projects, including hardware/software upgrades, system migrations, and infrastructure improvements. This includes planning, scheduling, and ensuring project milestones are met.
  • Documentation: Keeping detailed records of IT procedures, configurations, system updates, and projects to ensure clear communication and accountability across the department.
  • Vendor Management: Assisting with the procurement of IT products and services, liaising with external vendors for hardware, software, and support services, and ensuring that contracts and service level agreements (SLAs) are followed.

4. Leadership and Team Collaboration

  • Supervising IT Support Staff: Assisting in overseeing a team of IT support professionals, such as helpdesk technicians and system administrators. This includes ensuring they are following best practices and helping resolve complex issues.
  • Team Collaboration: Working closely with other departments to understand their technology needs and helping implement solutions that support organizational goals.
  • Training and Support: Providing support and training to staff on new systems, software, or best practices to ensure the IT infrastructure is used effectively.

5. Cybersecurity Awareness

  • Security Protocols: Knowledge of cybersecurity best practices, including firewalls, encryption, multi-factor authentication, and secure access protocols. Assisting in the implementation of security policies and monitoring for potential security risks.
  • Risk Mitigation: Identifying potential vulnerabilities in the network or systems and recommending steps to mitigate risks, including regular security audits, patch management, and system hardening.
  • Incident Response: Supporting IT security protocols in the event of a cyberattack, security breach, or data loss incident, and following proper escalation procedures.
