Our client is seeking seeking a diligent Project Administrator to facilitate seamless coordination with project support and document control teams. Reporting directly to the Operation Manager this role plays a pivotal part in ensuring the timely precise and safe execution of all assigned activities.
Responsibilities:
Coordinate with project support and document control teams to ensure smooth project operations.
Handle project documentation and administrative tasks efficiently.
Provide direct assistance to managers in their daily administrative duties.
Offer general support for projectrelated activities.
Prepare monthly invoices accurately.
Maintain records of incoming and outgoing correspondence related to projects.
Facilitate coordination between different departments to compile data for tenders and ensure timely submission.
Prepare quotations new contracts and renewals for Annual Maintenance Contracts (AMCs) and submit them to clients.
Generate purchase orders and liaise with suppliers for coordination and delivery.
Follow up on purchase orders and obtain necessary approvals and signatures.
Coordinate with procurement and logistics teams for material delivery.
Collaborate with the accounts department for monthly invoice processing.
Generate sales orders and submit them to the finance team for invoicing.
Organize and file acknowledged invoices for accounting reference.
Manage document filing including materials requisitions local purchase orders delivery notes and quotations both electronically and physically.
Input material requisitions and local purchase orders into Microsoft Excel to maintain accurate records.
Ensure a healthy and safe working environment in compliance with company policies and regulations.
Requirements
Bachelor s degree or diploma in a related field.
Minimum of 4 years of experience in the relevant field.
Proficient in presentation coordination and communication skills.
