Responsibilities
- Screen phone calls, visitors, and correspondence, directing them appropriately.
- Compose and distribute complex correspondence using standard software applications.
- Maintain awareness of key priorities and commitments for project managers.
- Coordinate requests from clients, managers, and staff, determining action on important matters.
- Maintain files and assist with procedures, including document management and site audits.
- Handle incoming and outgoing mail, ensuring accuracy and proper format.
- Coordinate travel arrangements and prepare itineraries and expense reports.
- Arrange meetings, facilities, and catering, preparing agendas and minutes.
- Develop and implement office procedures and filing systems.
- Perform other administrative duties as assigned, including IT equipment deployment and facility coordination.
Qualifications: BASIC QUALIFICATIONS
- Proficiency in Microsoft Excel, Outlook, PowerPoint, and Word.
- Excellent written and verbal communication skills.
- Ability to multitask and meet deadlines.
- Valid driver’s license.
- Willingness to work overtime with short notice.
Additional Qualifications
- Experience with Electronic Content Management Systems.
- Previous Bechtel experience in administrative roles.
- Familiarity with construction jobsite environments.
- Strong organizational and leadership skills.
