Receiving and hosting guests and office visitors with kindness and respect.
A paper or electronic copy of the calendar is kept for the responsible senior deputy.
Follows standard Hill Company internal and project document control procedure. Collects, reviews, and distributes incoming mail in both hard and electronic versions. He handles incoming mail independently, and does not need the attention of the senior representative. Reviews incoming and outgoing correspondence to ensure accuracy and coordination of outgoing documents that require the signature of the Senior Deputy/First Deputy.
Coordinate complex travel arrangements.
Copy, scan and classify documents.
Prepare, transcribe, submit and categorize expense reports using VantagePoint.
Processing supplier invoices in coordination with the Finance Department.
Perform other administrative tasks as needed.
Be part of the operations/management team when needed.
Other administrative tasks (if and when needed)
Front Desk Operations: Answering phones and routing calls.
Maintain fax machines, copiers, and printers in the office.
Manage the schedule of office drivers, for example, organizing daily pick-up, drop-off and document delivery.
Arrange courier pickup as needed.
Order office and kitchen supplies and coordinate delivery.
Using excellent interpersonal communication skills, communicate with various levels of company employees, management, visitors, customers, etc.
Office Operations: Assist with planning events/meetings.
Coordinate, clean and organize the office (when necessary).
