الوصف الوظيفي

  • Ensures changes to documents are made in a timely fashion in order to meet set deadlines.
  • Responsible for coordination with other parties to make sure document edits are made and proofed.
  • Tracks and keeps records of documents.
  • Follows standardized procedures but may have to use discretion to complete projects.
  • Ensures document tracking and production system is maintained.
  • Prepares and maintains a document control system for all forms of documentation.
  • Develops and maintains document naming conventions and filing structures to ensure easy retrieval of information.
  • Makes copies of drawings for production and other company employees.
  • Assures that all completed documents have been signedoff by the appropriate personnel.
  • Distributes copies of documents to the appropriate personnel.
  • Implements and follows company quality assurance program procedures.
  • Conducts regular audits of the document management system to ensure compliance with company policies and industry standards.
  • Collaborates with project managers to establish document control procedures for specific projects.
  • Provides training to team members on document control procedures and best practices.
  • Manages the archiving process for outdated or completed project documentation.
  • Assists in the implementation of new document management technologies and software as needed.
  • Prepares regular reports on document control activities and system performance for management review.
  • Entrylevel position previous experience may not be required.

Qualifications :

  • 5 years experience overall including 3 years experience in the UAE.
  • Related diploma qualification in Business Administration Information Management or a similar field.
  • Proficiency in document management systems and databases.
  • Excellent computer skills including advanced proficiency in Microsoft Office Suite particularly Excel and SharePoint.
