Job Summary:
The Document Controller is responsible for managing and coordinating all projectrelated documents ensuring accurate tracking filing and distribution. The role includes maintaining project records handling correspondence and assisting in budget monitoring and financial reporting. The Document Controller will also facilitate departmental operations and maintain compliance with quality standards.
Key Responsibilities:

Documentation and Coordination:
- Coordinate and correspond with project contractors to follow up on tender/contract drawings and document submissions as per project requirements.
- Monitor budget activities track expenses and forecast project budgets.
- Review tender documents prepare contract documents work orders and material requests.
- Prepare Minutes of Meetings (MOMs) and organize meetings with contractors.

Data Entry and Reporting:
- Accurately record project expenses and maintain data logs.
- Prepare necessary correspondence related to contracts and project progress.
- Compile periodic reports and ensure the accurate submission of data.

Site Visits and Inspections:
- Attend site visits and coordinate with contractors and bidders.
- Participate in project meetings and inspections during material delivery and handover.
- Prepare detailed reports from site visits and inspections.

Project Coordination and Compliance:
- Coordinate with project staff at offshore and site locations.
- Manage documentation related to project drawings and tender documents.
- Coordinate marine transportation logistics and obtain necessary approvals.

Financial Management:
- Analyze financial data including revenues and expenditures to ensure budget compliance.
- Assist in preparing annual budget forecasts financial closing and capitalization reports.
- Maintain auditable finance records for reporting and compliance purposes.
Knowledge & Skills:
Knowledge:
- Proficient in Excel functions for recording and maintaining project expenses.
- Familiarity with office productivity applications and a willingness to learn new systems.

Qualifications:
- Bachelors Degree (or equivalent) or Diploma in Engineering.
- Minimum of 5 years of relevant experience in the Oil & Gas industry.
