General Description of Role and Responsibilities:
- Maintain document processing and document retention systems of the project.
- Retain and be able to retrieve all correspondence reports drawings sketches instructions minutes of meetings submittals requestsforinformation payment requests variations and all project documents.
- Ensure proper file codes are indicated on each document and that proper redundant or subject files are maintained.
- Ensure all sequential documents are accounted for and all original documents are retained.
- Ensure all files are correctly and completely accountable.
- Periodically audit all files for inclusions and missing documents.
- Coordinate all multiplesite correspondence.
- Facilitate timely provision of requested documentation.
- Perform other duties as assigned by the line manager/supervisor.
Qualifications Experience Knowledge and Skills:
- Diploma in Administration or equivalent.
- 4 years of experience in administration and document control areas.
- Good communication skills with the ability to concisely compose and explain complex issues to different audiences.
- Excellent team working skills motivated and productive attitude.
- Ability to prioritize and undertake various tasks with a positive flexible attitude and willingness to learn.
- Computer literate in Microsoft Office applications including Excel and Word.
- Excellent command of written and spoken English.
- Able to work under pressure and tight deadlines.
