The Procurement Officer is responsible for overseeing the procurement process to ensure that the organization secures the best quality goods and services at the most competitive prices. This role involves sourcing suppliers negotiating contracts and managing the acquisition of goods and services to support the organizations operational needs.
Key Responsibilities:
- Supplier Management:
- Identify and evaluate potential suppliers.
- Establish and maintain relationships with suppliers.
- Conduct supplier audits and assessments to ensure compliance with quality standards.
- Procurement Process:
- Develop and implement procurement strategies.
- Prepare and process purchase orders and requisitions.
- Ensure timely delivery of goods and services.
- Contract Management:
- Negotiate terms and conditions with suppliers.
- Draft review and manage contracts.
- Monitor contract performance and ensure compliance.
- Cost Management:
- Analyze market trends to identify costsaving opportunities.
- Manage the procurement budget and ensure costeffectiveness.
- Implement cost reduction initiatives.
- Compliance and Risk Management:
- Ensure compliance with procurement policies and procedures.
- Manage risks associated with procurement activities.
- Maintain accurate records and documentation for audits.
- Stakeholder Collaboration:
- Work closely with internal departments to understand their procurement needs.
- Coordinate with the finance department to ensure proper budgeting and payment processes.
- Provide training and support to staff on procurement processes.
- Reporting:
- Prepare and present regular procurement reports to management.
- Track and report on procurement KPIs and metrics.
Qualifications:
- Bachelors degree in Business Administration Supply Chain Management or a related field.
- Professional certification (e.g. CPSM CIPS) is preferred.
- Proven experience in procurement supply chain management or a related role.
- Strong negotiation and contract management skills.
- Excellent communication and interpersonal skills.
- Proficiency in procurement software and Microsoft Office Suite.
- Strong analytical and problemsolving abilities.
- Knowledge of procurement regulations and best practices.
