Black & Grey HR is recruiting for one of the leading top tier developers in Abu Dhabi, UAE. Our client is looking to hire anAdmin Assistant tosupport Senior Management Executive with clerical and administrative tasks. The responsibilities of the role include-
- Answer incoming phone calls and respond to emails in a professional way
- Act as a point of contact for vendors, subcontractors, and various construction services teams and solicit quotes from them for new jobs
- Prepare forms such as change orders, purchase orders, service agreements, and subcontracts
- Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects as requested
- Coordinate meeting logistics and deliverables such as handouts, and make travel arrangements for the project management team
- Establishing a uniform document/drawing numbering system while adhering to company norms and requirements
- Ensure that quality documentation, such as documents, drawings, RFIs, and incoming and outgoing registers, is maintained
- Maintain confidentiality of sensitive documentation.
- Maintain master copies of all drawings and technical documents as per the filing system and directly exercise control over superseded documents
Requirements
- Basic understanding of construction projects and documentation system
- Strong administrative skills with a high attention to detail
- University Degree preferred, not essential. Experience has to be relevant.
- Minimum 5 years in GCC preferred.
- Excellent time management, organization, and communication skills are needed
- Strong MS Office Skillset (SharePoint, Outlook, Word,MS Excel, PowerPoint)
- Fluent in English & Arabic - Verbal & Written
